Electronic Run Reporting Protocols

(REVISED 01/01/09)

Field Bridge (Toughbook laptop computer):

  • Is the primary means for recording calls on Rescue 1.
  • The State Bridge (direct Internet access via a desktop) will be used for calls on Rescue 2
  • Crews will be expected to record calls using the Field Bridge (laptop) unless it is out of service OR  already being used on R-1 OR if you are entering data from the hospital’s desktop to the State Bridge.
  • Printers are at each hospital to print copies of run sheets. A printed copy of the run sheet (or some form of temporary written report) must be left at the hospital.
  • After entering the run on the laptop, it still needs to be “posted” up to The State Service Bridge.
  •  Completed run sheets may be ‘posted’ to The Service Bridge:  
    • While at the hospital
    • From the Ambulance Office upon return to the Station
    • Or as soon as practical after the call.*

*NOTE: In all cases however, a run sheet must be posted within 24 hours of the call or the data will be “locked out” and you will need to contact as Service Administrator. Also, only personnel listed on the call will have access to the data.

At present, MDI Hospital does WI-FI & Desktop Internet connections. We can use either method ‘post’ the run sheet from the hospital. We have also requested an additional Ethernet cable connection.

“Paper” Run sheets:

  • The small  note size “Paper run sheets” are only to be used as “notes” to assist in data collection while on a call -  prior to officially entering  the run data on to the Laptop or State Bridge.
  • These new smaller “note” sheets, (that look like our old forms) are available on each clipboard.  
  • The State considers these paper forms as just a method of informal note taking. The final, official record is the ERR. However, these are considered “official medical records” thus must be HIPPA protected.
  • When using the “note paper” run sheets, make one copy to stay at the hospital and one stays with the ambulance – to be properly disposed of. As before, signatures must still be obtained on Toughbook.
  • The information must then be posted directly to the laptop or Service Bridge using the computer in the office, as soon as practical after the call is completed.
  • There is no need for a multi-copy continuation sheet.  The narrative section on the form can be used for most notes. 
  • In the Field Bridge, there is a great tool located on the tool bar: The “Jot Pad” it has an endless supply of note taking space directly onto laptop screen – REALLY COOL.

Copies of Paperwork:

  • You will need to make 2 copies of each electronic run sheet: one for the hospital ( if time permits) and one for our records. We will not be using the ‘billing report’ document at this time.
  • Our electronic run sheet copy should be placed in the box in the Ambulance office as usual with the patient demographic sheet (and ECG strip) AND the small run sheet note page if used. 

LAPTOP/FIELD BRIDGE NOTES 

Open Laptop and “power on” (front right slide switch). Either keep in laptop configuration or hold “release” switch and rotate – fold over screen. Pull out attached stylus. 

Ø To log into Windows: Tap on “Attendant Access”  enter Password “0490” (our Service License number)

Ø Opening desktop screen:

o   You can familiarize yourself  with working in the tablet/stylus  mode with the “Welcome to Tablet PC” operation by initially spending a few minutes going through the 2 short tutorials.

o   To start MEMSRR Field Bridge: Double tap on the “Image Trend EMS Field Bridge 3” icon.

o   Field Bridge login page:

§  User Name:  your EMS license number”

§  Password:last 4 numbers of your SSN” On your FIRST login, you will asked  to change your password. Enter whatever password you wish.  System Administrators are not permitted to make changes to your password. If you wish to change it again or forget it you will need to call Ben at MEMSRR.

§   Tap “Login

Ø Next screen: “Shift Setup” window

o   From drop down menu log on ­each attendant on call including EMS personnel at scene.

o   Drop down “Role” menu  (“Level” will automatically populate)

o   “Responding Unit & EMS Unit Call Sign” tabs should already indicate “Rescue 1” Change if appropriate.  Tap OK

Ø  Main Field Bridge page: Tap either “New Incident” (left task bar or center) OR “New” tab (top left menu bar for choice of pre-loaded “default runs”). Explained later.

Ø  You are now at the opening page for run data entry – similar to the one on the State Bridge with the information category tabs on top – “Incident – Call Info – Demographics” etc.

Ø  Complete ALL TABS INCLUDING ANY INSURANCE INFORMATION AVAILABLE FROM HOSPITAL

o   Power Tools Bar – menu buttons on top: “Jot – Vitals – Cardiac” etc. are quick shortcuts to pages – open and play with “Jot” note pad. You can hand write notes with stylus – there are multiple pages available – use Save Button to temp keep – though data will not be entered into

any fields

 PRINTING & POSTING RUN SHEETS

Upon completion of run sheet, two final tasks are necessary: (1) Posting the data from the laptop to State Bridge site and (2) Printing out copies of run data – one for hospital and one for NEH Ambulance files

Ø  PRINTING RUN SHEETs: (MAKE SURE YOUR DATA IS COMPLETE) Spell Check - DO a final SAVE.

o   In Hospital ED – Plug printer USB cable into Toughbook (2 ports available – left side & rear)

o   In Ambulance Office:  Same procedure (though cable might already be plugged into laptop on desk– simply unplug)

Ø  Select and click on “print” tab on menu bar

Ø  Chose  Pre-Hospital Care Report  ( NOT LARGE FONT)

Ø  Chose appropriate printer from printer box: AMB Office – MDI Hospital.

Ø  PRINT copy. ( If this is a fully completed run – print 2 copies.)

 Ø  POSTING data to MEMSRR – (MAKE SURE YOUR DATA IS COMPLETE) Spell Check -DO a final SAVE.

o   Make certain wireless is connected to hospital “Public” network. Password: “the1234word” If you are unsure how to do this – ask.

o   Click on “post” tab on menu bar

o   Highlight and click on “MEMSRR” in popup window

o   Click  “post” tab

o   You should then see a number of sequential green progress bars and “completed” appearing as the data gets uploaded. If not – data has not been uploaded to MEMSRR.

Ø  SECOND OPTION – After leaving a run sheet copy at ED, if you do not have time to upload to MEMSRR – You may post run to MEMSRR via Internet access in ambulance office upon returning to Station 1. Simply plug “beige” Ethernet cable into Toughbook (left side) Follow same posting procedures as above.

REMEMBER YOU WILL HAVE 24 HOURS AFTER A RUN TO POST TO THE STATE SITE.

 

 

 

SUMMARY – 12/17/08

  ü  MDIH HOSPITAL “Public1” NETWORK PASSWORDS FOR INTERNET ACCESS They change frequently for security purposes – The EMS Services are working with MDIH to limit this inconvenience – If the one you have does not work – ask the hospital.

 ü  INSURANCE; - It is now necessary to include patient insurance information under “Insurance” tab. Information  is usually  located on the patient demographic sheet. Note at bottom of your narrative if information is not available.

 ü  It is not absolutely necessary to leave a printed patient report at the hospital – HOWEVER – please do if at all possible. If your run is not finished or not posted to the State Bridge   - please write “IN PROCESS” on top of copy you leave.

 v It is extremely important that we submit accurate data to The State and that you take the one last extra moment to review your run sheet

o   tab by tab

BEFORE you “post it” to the State Bridge.
